Privacy Policy
Last updated 15 October 2026
This policy explains how ParentPlan handles personal data under the UK GDPR and the Data Protection Act 2018. We are the data controller for the information you provide.
What we collect
- Account details — the names you choose for household members and a PIN you set to sign in.
- Schedule data — shift times, pickup assignments, day notes and rules you enter.
- Reminder data — if you enable push reminders, the browser push subscription for your device.
- Usage counters — simple counts (e.g. photo reads this period) to apply fair-use limits.
Rota photos
When you scan a rota, the photo is sent to our AI reading provider to extract shift details and is then discarded. We do not store the image. Only the extracted dates and times are saved to your household.
Children's data
ParentPlan is used by adults to organise collection of children. We minimise data about children: typically only that a pickup is needed on a given day. Please avoid entering unnecessary personal details about children in notes.
Why we use it (legal bases)
- Contract — to provide the scheduling and reminder features you ask for.
- Legitimate interests — to keep the Service secure, prevent abuse and apply fair-use limits.
- Consent — for push reminders, which you can turn off at any time.
Who we share it with
We use trusted providers only to run the Service:
- An AI provider to read rota photos (processed transiently, not stored by us).
- A push-notification service to deliver reminders you enable.
- A hosting provider to run the app.
- A payment processor if you buy a paid plan (they handle card data; we do not store it).
We do not sell your personal data. Some providers may process data outside the UK; where they do, appropriate safeguards (such as UK International Data Transfer Agreements) apply.
How long we keep it
We keep your household's data while your account is active. You can delete content in the app, and you can ask us to delete your account and associated data.
Your rights
You have rights to access, correct, delete, restrict and port your data, and to object to certain processing. To exercise them, contact us. You may also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
Security
We take reasonable measures to protect your data, but no system is perfectly secure. Keep your PIN private.
Changes
We may update this policy and will note material changes in the app.
